Privacy Policy

What Konyx collects, why, who helps us process it, how long it is kept, and what you can ask for. Short version: your company's data is used to run Konyx for your company, kept apart from everyone else's, and never sold.

1. What this covers

This policy explains how Konyx Industrial Intelligence (“Konyx”, “we”) handles personal information on this website, in the company app at app.konyxai.com, and on the link vendors use to quote.

Inside the company app, your company decides what goes in and who can see it. For that information Konyx acts on your company's behalf, and your company's own privacy notice applies too. For the website and for running our own business, Konyx decides, and this policy is the notice.

2. What we collect

  • On this website. What you type into the demo form — name, work email, company, role and your message. It is emailed to our team and not stored by the site. If analytics is on (see below), how the site is used.
  • Your account. Your name, work email, job title and employee number if your company adds them, your roles, your password (stored only as a one-way hash), when you signed in, and which version of the Terms you agreed to.
  • What you put into Konyx. Requests as you typed or said them, photos, voice recordings when your browser cannot transcribe on its own, spreadsheets, notes, and the vendors, contacts, prices, quotes and purchase orders your company works with.
  • Vendors. The names, email addresses and phone numbers of vendor contacts, whether your company added them or Konyx found them published on the vendor's own website, and the quotes a vendor submits.
  • Activity. A log of what was done and by whom — every request, RFQ, send and change — with the time, the IP address and the browser, so your company can see its own history and we can keep the service secure.

3. Why we use it

  • To run Konyx for your company: sign you in, draft requests and RFQs, find and rank vendors, send the emails you ask Konyx to send, and collect quotes.
  • To keep it secure: keep companies apart, stop abuse, and investigate problems.
  • To support you and improve Konyx, using how the service is used rather than what is in your requests.
  • To answer a demo request and talk to you about Konyx.

We do not sell personal information, and we do not use it for advertising.

4. AI and web search

To read a request, a photo or a voice note, Konyx sends it to an AI model provider, which processes it and returns the result. Under its terms for business use it does not train its models on what we send. Every model call is recorded on our side: who asked, what for, and what it cost.

If you use voice input, Chrome and Edge first try their own speech recognition, which sends the audio to the browser maker; when that is not available, the recording is sent to Konyx for transcription instead.

To find vendors for a part, Konyx sends a search made of the part's description, number and maker to a web search and crawling service, and reads vendors' public web pages. Your company's name, prices and vendor list are not part of those searches.

5. Who processes it for us

We use a small number of providers, each only for the job listed, under contracts that require them to protect the data:

  • Google Cloud — runs the Konyx servers and database, in the United States.
  • Cloudflare — serves this website and the company app, and protects them from abuse.
  • Resend — delivers email: sign-in details and invitations, RFQs and purchase orders, and demo-form messages.
  • OpenAI — the AI model provider described above.
  • Firecrawl — web search and reading of public vendor pages.
  • Google Analytics — site and app usage, when turned on (see below).

We may also disclose information when the law requires it, or to protect people or the service.

6. Cookies and analytics

The company app uses one cookie that is needed to keep you signed in. It cannot be read by scripts in the page. Your browser also keeps a few small settings on your device, such as which voice engine works for you and a photo you were attaching while your phone's camera was open.

This website and the company app may use Google Analytics to understand how they are used — which pages are visited and which actions are taken, such as asking Konyx or sending an RFQ. It sets its own cookies. We send it page addresses with record numbers and links blanked out, counts and choices (such as how many items an RFQ had), and your account and company as internal codes — never your name, email address or what you typed. Google's advertising features are switched off. Analytics does not run on the vendor quote link, and it does not run at all if your browser sends a Global Privacy Control signal.

7. How long we keep it

Information in a company's workspace is kept while the company uses Konyx, so its records and history stay complete. When a company's account ends and it asks us to, or when its workspace is deleted, everything it holds is deleted with it; copies in backups are overwritten as the backups roll over. Demo-form messages are kept in our email for as long as we are in touch. Analytics data is kept for Google Analytics' set retention period.

8. Security

Every company's data is separated at the database level, so one company's request cannot read another's. Connections are encrypted, passwords are stored only as hashes, the browser never talks to the Konyx servers directly, and every action is logged. No system is perfectly secure; if something happens that affects your information, we will tell your company without undue delay.

9. Your choices and rights

You can ask to see, correct, export or delete personal information about you. If it is in your company's workspace, your company's administrator can do most of this directly, and we will help them; otherwise, write to us. Depending on where you live, you may also have the right to object to or restrict some uses, and to complain to a data-protection authority. We will not treat you differently for asking.

You can block or delete cookies in your browser, and turn on Global Privacy Control to switch analytics off.

10. Children

Konyx is a business tool for people at work. It is not meant for children, and we do not knowingly collect information about them.

11. Changes to this policy

When this policy changes, we update the date at the top. Significant changes are also shown when you next sign in, together with the Terms of Service.
